Find it again, then keep it organized
Search starts in the room you are viewing. A few useful tags and a clear archive make your next visit easier.
Start with the right room and filters
- Open the Board or Vault where you saved the item. The search box says “Search this Board” or “Search this Vault”; it does not search both rooms together.
- Enter a distinctive word from the item. Check the active kind, source and tag filters, and whether you are viewing active or archived items.
- If nothing matches, clear the filters or switch to archived items. Your query stays in place when you change those views.
Search does not read the contents of attached files. Use a descriptive title or tag for a document you will need later.
Know what a Vault search has checked
Vault bodies are encrypted, so body search happens on your device while the Vault is open. The search status distinguishes loaded items from a wider scan; a partial result is not proof that the item is absent.
- Choose Search encrypted bodies to scan beyond the items already loaded.
- Watch the progress. One press checks up to 500 items in pages of 50. You can cancel while it is running.
- If the scan pauses, choose Search the next 500 items. If it reaches 200 matches, narrow the query or filters to find what you need.
Encrypted file contents are not included. Locking the Vault clears decrypted search content.
Organize a few items or a batch
- Give an item a recognizable title and add a small number of useful tags. Pin items you return to often.
- Choose Select items to organize several captures. Select individual items, or choose Select up to 50 loaded items. Check the selection count; this does not select every search result.
- Use Add tag to add a label, or Archive selected to move finished items out of the active view. Changing search or filters clears the selection.
- Read the result message. If only part of the batch finished, use Retry unfinished items. Use Undo archive when offered, or open archived items and use Restore selected.
Archive keeps the item available. Delete is permanent; keep an independent copy of anything you cannot afford to lose.
Open Tags settings to rename labels or merge duplicates. Read the confirmation before changing a tag used for sharing, because the change can affect which items a recipient can access.
